There are two industries called grant software
One is sold to the people giving money away. The other is sold to the people asking for it. They share a name, they share a search result, and they solve opposite problems. Buying the wrong one is a procurement cycle you do not get back.
The question that settles it takes one second: is money leaving your organization, or arriving?
This distinction is missing from almost every roundup in the category. Search for grant management software as a city and page one is grantmaking platforms, because those vendors compete hardest for the phrase. If your job is winning funding rather than awarding it, none of them is built for you and none of them says so.
Which one are you buying?
- You are giving money away
- You publish an opportunity, receive applications, score them, award, disburse and then monitor what recipients do with it. Foundations, agencies, and any city or state re-granting federal pass-through money. What you need is grantmaking software, and the names that dominate this search sell exactly that.
- You are asking for money
- You need to find what you are eligible for, work out whether it is worth the weeks, write the thing and get it in before the deadline. Nonprofits, companies, universities, tribal organizations, and cities applying for federal and state programs. This is what Quillify is, and it is a different product category that happens to share a name.
- You are doing both, which is common and rarely planned for
- A city takes a federal award and re-grants part of it to community organizations. A foundation applies to a larger funder for program money. These are two jobs, two teams and two systems, and buying one tool for both is how a procurement goes wrong. Sort out which job the software in front of you was built for before you compare features.
If money is arriving, this is the shorter list
The grant seeking side of the category is smaller and easier to compare, and we publish the whole of it in one table with a date on every price, including the tools we lose to for particular buyers.
Quillify is the grant seeking side, built as a team rather than a database. It searches 3,700+ open grants, 7,900+ government contract opportunities and 480+ community lenders at once, tells you which of them you are eligible for, and drafts the proposal from documents you already have. Customers have won $6.5M with the funder named on every story.
It is also the only one here that does not ask what kind of organization you are first. What Quillify is, in full.
The words vendors use, and what they signal
Intake, review, scoring, disbursement, subrecipient monitoring, 2 CFR 200 reporting. Every one of those describes work you only do if you are awarding money. A page using them is selling to funders, whatever the headline says.
Eligibility, opportunity search, funder research, proposal drafting, deadline tracking, compliance checklist. These describe the applicant’s job. That is the vocabulary of the side Quillify is on.
A handful of vendors appear in comparison articles for both jobs, which usually means the article was assembled without much understanding of the market rather than that the product does both. Four checkable errors we found in the pages currently ranking for this category.
