How long until grant money arrives after an award

How long does it take to receive grant money after being awarded?

It depends on how the grant pays. Foundation grants usually arrive as a check or transfer within weeks of a signed agreement. Federal grants are drawn down by you through a federal payment system once your account is set up, and a drawdown usually lands within a few business days. Many state and federal grants pay by reimbursement, which means you spend first and get paid back after each claim is approved. In that case the money arrives after the work, not before it.

How each kind of funder pays

Private foundations
Most send the money after you sign the grant agreement, in one payment or on a schedule. Some tie later payments to reports.
Federal grants
You request the money yourself, through the payment system your agency uses, such as HHS's Payment Management System or Treasury's ASAP. First you need an account in that system, which takes some setup. After that, payments usually arrive within a few business days of each request. How drawdowns work.
State and local grants
Usually reimbursement. You submit a claim with receipts, the agency approves it, and payment follows. Approval times vary widely, so ask the program contact what is typical.
Federal contracts, including SBIR contracts
You invoice for work done or milestones met, and the government pays the invoice. It is payment for delivery, so it usually comes after the work.

What has to happen before the first dollar

  1. Sign and return the agreement

For a foundation, nothing moves until the signed agreement is back. For a federal award, read the notice for how to accept it. At HHS and NIH, drawing funds counts as accepting the terms. Other agencies, such as the Justice Department's grant offices, want a signed acceptance before they pay anything.

  2. Set up the payment account

Federal award notices name the payment system and how to enroll. Do it the week the notice arrives, because a missing account is the most common reason the first drawdown is late.

  3. Wait for the start date

Costs before the start date are generally not allowed unless the award terms say so. What to set up in the first 90 days.

If you have to spend before you are paid

Reimbursement grants ask you to carry the cost for a while. That gap is a cash flow problem, and it has cash flow answers, from a reserve to a short loan from a community lender. Reimbursement vs. advance payment How to cover costs before the money comes.
