Reimbursement vs. advance payment on grants
What is the difference between reimbursement and advance payment on a grant?
With advance payment, you draw the money shortly before you spend it. With reimbursement, you spend your own money first and the funder pays you back after you submit a claim. Federal rules make advance payment the default for nonprofits and other non-federal recipients that can manage it. Reimbursement is common for state programs and pass-through money, and the award document always says which one you are on.

The two methods
- Advance payment
- You request funds for costs you are about to pay, and they arrive before the bills are due. The catch is timing. Federal rules expect you to keep the gap between receiving money and spending it as short as possible, so you draw for near-term needs rather than the whole year at once.
- Reimbursement
- You pay the costs, then claim them with documentation, and the funder pays you back. You carry the cost until the claim clears. For a small organization, that gap is often the hardest part of the grant.
Which one you will get
Read the award document. It names the payment method, and it overrides anything you assumed from the announcement.
Under the federal Uniform Guidance, recipients that can manage cash carefully are paid in advance. Reimbursement is used when they cannot, or when an agency adds specific conditions to an award. State and local programs, and federal money passed through a state, lean heavily toward reimbursement. Foundations usually pay ahead of the work.
Making reimbursement survivable
Know the claim schedule
Monthly claims mean a shorter gap than quarterly ones. Ask what the funder allows and submit on the first possible day.
Keep the paperwork claim-ready
A claim with missing receipts comes back. Clean records are the fastest way to get paid.
Plan the bridge before you need it
Add up the costs you will carry before the first payment. That number is the size of the bridge, from a reserve, a line of credit or a short loan from a community lender. Six ways to bridge the gap.
