How to cover costs before the grant money comes

How do I pay for grant costs before the grant money arrives?

Start by sizing the gap: add up what you will spend before the first payment lands. Then shrink it, by asking the funder about advances or more frequent claims and by timing your biggest costs. Cover what is left from a reserve, a line of credit, or a bridge loan. Some community lenders make bridge loans against a signed award, because the grant itself is the repayment.

Six ways to bridge the gap

  1. Ask the funder

Some funders will pay part of the grant up front or let you claim monthly instead of quarterly. It costs one email to find out, and the program contact is the right person to ask.

  2. Time the big costs

Hiring, equipment and large contracts are where the gap opens. Where the work allows, schedule them after the first payment, or split them across claim periods.

  3. Agree terms with vendors

Net-30 or net-60 terms with suppliers let the claim clear before the bill is due. Ask before you sign the order.

  4. Use a reserve

An operating reserve exists for exactly this. Drawing on it and paying it back from the grant is the cheapest bridge there is.

  5. Open a line of credit

A line of credit from your bank costs nothing until you use it. Set it up before you need it, because lenders say yes faster to an organization that is not yet short.

  6. Take a bridge loan

Some community lenders make short loans against a signed grant award, repaid when the grant pays out. They often lend to organizations a bank would turn down. How community lenders work.

How big is the gap?

Take the costs you will pay before the first payment arrives, add the costs of each claim period while the claim is processing, and subtract any advance. That number is what the bridge has to cover. On a reimbursement grant, expect to carry at least one full claim period. Reimbursement vs. advance payment.
