How many clients can one grant writer carry?
How many clients can a grant writer handle at once?
It depends on hours more than headcount. In our conversations with customers, a full proposal takes 50 to 400 hours, depending on the funder and the size of the request. Divide the hours you can bill in a season by the hours each client’s proposals take, and you have your ceiling. To raise it, spend fewer hours on the stages that don’t need your judgment: research, gathering documents, first drafts, and compliance checks.

Work out your own number
Count your billable hours for the season
Deadlines cluster, so count the hours you can bill in your busiest stretch rather than an average month.
Time one proposal by stage
Track research, gathering documents, drafting, revision, and the compliance check separately. Most writers find one stage takes far longer than they thought.
Divide
Your season’s hours divided by the hours per client is the number of clients you can carry well.
Leave room for collisions
Two clients chasing the same federal deadline double a week’s load. Keep a margin for the weeks that stack up.
Where the hours go, and which ones need you
- Research and fit
- Your judgment decides which funders are worth a client’s time. The searching that comes before that decision is hours you can hand off.
- Gathering documents
- Chasing each client for budgets, reports, and letters is time nobody bills well. One place for each client’s files means you ask once.
- The first draft
- The blank page is the slowest part of most proposals. Starting from a draft built from the client’s own material leaves you the revision, where your experience shows.
- Compliance
- Checking every requirement against the announcement is exacting and repeatable, which makes it the easiest stage to systematize.
- Strategy, relationships, and the final read
- This is what clients pay you for. Keep all of it.
Where Quillify fits
Quillify carries the stages that don’t need your judgment, for every client. Each client gets its own Data Room, so every draft starts from that client’s documents. On Pro and above, you switch between clients from one login, and each client organization gets your plan’s storage. Ask for a change to one passage and only that passage changes, so the work you already did stays put.
A state innovation proposal Quillify drafted took about four hours of human editing before it was filed, and it won $300,000. Quillify for grant writers.
Who asks this most
The answer above is the same whoever you are. What Quillify does about it is not.
