What parts of a grant application can software not do for me?

Anything that requires your signature, your books, or somebody else's agreement. Certifications and assurances are legal statements signed by an authorized official. Audited financials and a negotiated indirect rate come from your accountant. Letters of commitment come from partners who have to say yes first, and they take weeks. Your evaluation data, your board roster and your registrations are facts about your organization. Software can find the opportunity, work out whether you qualify, list every requirement and draft the whole narrative. The items above are the ones to start collecting the day you decide to apply, because they are the ones with a lead time attached.

The ones with lead time, in the order to start them

  1. Registrations, weeks

    An active SAM.gov registration and a UEI, and for many state portals a separate registration with its own queue. Entity validation stalls on a mismatch between your legal name and what the IRS or your state has on file, and there is no expedite path worth relying on.

  2. Letters of commitment, two to three weeks

    A partner has to agree, then write it, then get it signed. Reviewers score feasibility and a named partner with a signed letter is the difference between a plausible plan and an assumption. Ask early and give them the paragraph to work from.

  3. Audited financials or a financial review, weeks to months

    Which one you need depends on your budget size, and the federal single-audit threshold is $750,000 in federal expenditure in a year. If you do not have the right one, that is a conversation with your accountant rather than something to solve in the last week.

  4. A negotiated indirect rate, months

    Worth having and slow to get. In the meantime the de minimis rate exists and is accepted by federal agencies, and knowing which you are using changes your budget.

  5. Assurances and certifications, minutes but only from the right person

    These are legal statements about your organization's conduct, signed by an authorized official. The delay is never the form, it is finding the executive director in the week they are travelling.
